Start scoped where clarity and handover per assignment make the biggest difference

Agreements scatter across WhatsApp, email and loose notes. The pilot tests whether one dossier line per assignment fixes that.

ProSafetyMatch is one shared assignment record for external work, alongside your planning and runbook. We test on real assignments whether that gives more fixed context, less scattered coordination and better handover across teams.

  • 3 months on real engagements — then continue, adjust or stop.
  • Success check: retrieve essentials faster where you still dig manually today.
  • No heavy rollout: only record what would otherwise stay in phones, email or group chats.

Test one assignment in 15 minutes — so you can see where misunderstandings and rework arise today.

Delaying increases the chance of misunderstandings, rework and weak handover. That is why we test on scoped real assignments and guide each pilot directly.

No heavy track upfront. First, validate in one scoped part of your operation.

Light onboarding included - sector template and basic setup

We align terminology, answer labels and reporting setup with your organisation's practice. Extended reporting and access context depend on activated packs.

Pilot success check: retrieve the essentials noticeably faster where you still rely on manual digging today. The dossier includes a quick capture flow (±90 seconds) for core questions - not a promise that every dossier is ready in two minutes. No heavy system alongside. ProSafetyMatch runs on top of your planning. One short assignment card plus four core questions keep setup light.

For whom?

  • For organizations with recurring external work, multiple parties, last-minute changes or reporting afterwards.
  • For teams where briefing, changes, open actions and handover currently run across several channels.
  • For leadership teams, planners, agencies and operations leads who want to coordinate external work with clear context around agreements, role, changes and execution.

What do we test?

  • Can you find what applied faster?
  • Can you see who is next faster?
  • Do changes remain more visible?
  • Is reporting less likely to get lost?

What do you get?

After the pilot you know whether ProSafetyMatch reduces re-checking, creates more planner calm and improves handover per assignment - with more calm before execution.

  • Is handover to the client or follow-up easier?
  • Does the process feel lighter instead of heavier?
  • After 3 months, you can see whether teams find what applied faster and whether collaboration per assignment feels lighter.
  • Afterwards, choose: continue, adjust or stop.

Clear before pressure builds

In practice, scheduling capacity and organising an assignment clearly do not always run on the same line - especially when multiple links are involved. The pilot tests whether role, mandate, contact point, escalation route and handover are clearer before execution.

  • Who directs and who informs.
  • Who gives mandate when things deviate.
  • Which agreements and changes stay with the assignment.
  • What must remain transferable afterwards.

What you get - and how you decide

ProSafetyMatch brings role, mandate, briefing, changes, confirmations, reporting and handover together in one clear assignment record - so teams can coordinate with shared context instead of rebuilding it from separate channels.

  1. 1A 15-30 minute intro - no account, no setup. Together we determine whether ProSafetyMatch fits your external assignments.
  2. 2Pilot scope: fixed price, clear success criteria, one assignment type, one process owner and a limited dossier set. Setup and login only follow after agreement.
  3. 3After 3 months you decide on the facts: continue, adjust or stop.

You receive the pilot overview and scope during the intro, so leadership, planning or finance can see upfront which context and handover you want to test. For international teams, a bounded NL/BE validation is often a practical first step.

From practice

Early pilots are underway. We will share practical results and observations here as soon as they are available. ProSafetyMatch is deliberately in pilot mode: one well-scoped practical situation with clear success questions agreed up front - then continue, adjust or stop together.

Illustrative — agency

With multiple supplier lines: handover after completion in one export instead of searching each mail thread.

Illustrative scenario; not a customer case, outcome claim or legal judgement.

Illustrative — client

Confirmation via token link without an account — visible what changed before admin or follow-up.

Illustrative scenario; not a customer case, outcome claim or legal judgement.

Post-assignment feedback (configurable)

Default short confirmation after engagement choice, optionally process feedback with notes per organization - not a rating of the person.

Step 5 in the product flow →

Pilot

Pilot: 3 months, EUR 750 fixed, up to 25 assignment records per month - enough to learn whether ProSafetyMatch improves operational clarity, planner calm and handover in your operation.

Pilot Plus

Pilot Plus: 3 months, EUR 1,500 fixed, up to 100 assignment records per month - for organisations that want to validate operational volume straight away.

What counts as one dossier? Usually one external assignment relationship: a team, supplier line or independent professional with a distinct role - not every crew member separately.

One fixed pilot price, no surprises. Extensions - such as integrations or extra locations - are only added when the work calls for it, and you decide on those only after the pilot.

Pilot Core tests the core dossier route. Check-in, reminders and extended reporting are only enabled when they are part of the agreed pilot scope.Optional: access context basic or extended. The proposal states which layer is active - the professional mainly sees the summary before agree/decline with extended.

What do we evaluate per role?

No guarantee of outcome — but clear evaluation questions per role on whether the dossier helps in practice.

Professional

Evaluate whether confirming, reporting and logging friction notes fits the flow — and with extended access context, whether they see what was recorded about access and deployment before agreeing.

  • Can professionals confirm, report and log friction notes without extra searching?
  • Is assignment context clearer than via scattered instructions or chat?
  • With extended access context: is it clear before agree/decline what was recorded about access and deployment?

Agency

Evaluate whether the agency can better show per assignment what was prepared, aligned, changed and remains transferable.

  • Can the agency find faster what was prepared, aligned, logged and transferable per assignment?
  • Does handover of assignment context require less re-checking for planning and front office?

Client

Evaluate whether it is easier to find what was confirmed, changed and remains transferable.

  • Does the client see better what was confirmed, what changed and what remains useful afterwards?
  • Is handover towards finance, follow-up or internal coordination clearer?

Start scoped. Validate on real assignments. Then decide on rollout or integrations.
